Daycare Attendance Software: Check-In, Pickup and Meal Logs
Attendance is the one record a daycare keeps every single day, for every child, twice. It is also the record that matters most when something goes wrong: who was here, who brought them, who took them home. This guide covers what daycare attendance software should record, what Texas rules say about sign-in and sign-out, and how meal logging fits in, including what it can and cannot do for a food program such as CACFP.
What is daycare attendance software?
Daycare attendance software replaces the paper sign-in sheet with a digital check-in and check-out for each child, recorded by your staff with the time and the person who dropped off or picked up. It keeps that history so you can look it up, print it or export it later.
The better systems go one step further: they know who each family has authorized to collect a child, and they stop or flag a pickup that does not match.
Do Texas daycares have to keep sign-in and sign-out records?
Yes, for licensed child-care centers. Among the records a center must keep on file under the HHSC minimum standards (26 TAC §746.801) is the daily sign-in/sign-out tracking system, alongside children's records, medication records and others.
Some related rules from the same standards:
- Retention: each required record is kept at least three months from the date it was created, unless the chapter says otherwise for that record (§746.803).
- Electronic records are allowed, alone or combined with paper. Children's records must be accessible to caregivers during their shift and in an evacuation, and available to Licensing during operating hours (§746.805).
Home-based programs follow a separate chapter (26 TAC Chapter 747) with its own recordkeeping rules. Whatever your permit type, a digital record that is easy to find is easier to keep than a binder.
What should daycare attendance software record?
At a minimum, every check-in and check-out should capture:
- The child.
- The time, in your daycare's own time zone.
- Who dropped off and who picked up.
- Which staff member recorded it.
- Any exception, such as someone collecting the child who is not on the family's list.
If a system records only a time stamp, it is a clock, not an attendance record.
How does pickup authorization work in attendance software?
Good attendance software checks the person collecting a child against the list the family has given you. Here is how Zukeepr handles it:
- Every check-out records who collected the child: a parent, someone on the family's authorized pickup list, or a name typed under "Someone else". A check-out with no collector is refused.
- A person on the family's not-authorized list is refused at check-out, whichever way their name is entered, with a "do not release" message.
- A name typed under "Someone else" is always recorded as an override, even if it matches a name on a list, and the override is shown on the daycare's attendance view so a manager can see it.
- Drop-off is recorded too, if you choose. If the person dropping off is on the not-authorized list, the check-in is accepted but flagged, and the owner and managers get an alert in the app.
That gives your team a fixed process at the door instead of a judgment call at 5:45 p.m.
Can staff check children in, or only the director?
Your staff should be able to. In Zukeepr, staff accounts at your center can check children in and out, and staff in rooms see the children in their rooms. The owner and managers see the whole center and its attendance history. Each staff member has their own login, so the record shows who checked each child in or out.
Can I export daycare attendance records?
You should be able to, and in a format you can hand to someone else. Zukeepr's attendance history covers up to 92 days at a time for the owner and managers, and you can download it as a CSV or print it. Each row shows the date, time, child, whether it was a check-in or check-out, who dropped off or picked up, any note, and who recorded it.
There is also a printable emergency roster and pickup sheet, built from the children enrolled at your center, for drills and for the day the power goes out.
How does meal logging work in daycare software?
Meal logging records what each child was served and how much they ate, meal by meal. In Zukeepr, for each child and each day, staff can record:
- The meal: breakfast, lunch, snack or afternoon snack.
- Each food served, with how much the child ate: all, most, some or none.
- Any allergies triggered, and notes on the meal or on a single food.
The entry is saved with the staff member who recorded it, and parents can see their child's meals in their own view, so "did she eat lunch?" has an answer before pickup. Naps are logged in the same daily log.
Does daycare software help with CACFP meal records?
It can help with the day-to-day records, but check exactly what the program asks of you. The Child and Adult Care Food Program (CACFP) has its own recordkeeping and claim requirements, and the forms you submit depend on your sponsoring organization or state agency.
To be clear about what Zukeepr does today:
- It does keep a per-child, per-meal record of what was served and how much was eaten, by date, alongside attendance records for the same day.
- It does not generate CACFP claim forms or monthly meal-count reports, and it does not check menus against the program's meal pattern.
If you participate in CACFP, keep using the forms your sponsor or state agency requires, and use the daily meal and attendance records as the source you fill them from. Before relying on any software for a food program, ask the vendor to show you the exact report you would submit.
What else should I look for in daycare attendance software?
A few things separate a usable system from a frustrating one:
- Speed at the door. Check-in should take seconds per child, on a phone or tablet.
- The daycare's own day. Times should be recorded in your time zone, so an evening check-out does not land on tomorrow's date.
- One list of who may collect a child, used both for the pickup picker and for the authorization check.
- History you can get out, as a CSV or a printout, without asking support.
- A link to billing. Attendance and billing in one system means part-time schedules and enrollments are not entered twice.
For how attendance fits alongside billing and daily logs across the main platforms, see our guide to the best daycare management software.
How much does daycare attendance software cost?
It varies by vendor and plan, so check each vendor's current pricing on its own site. Zukeepr's attendance tools are on the free daycare plan, which is free for up to 20 enrolled families. Daycare Premium is $11.99/mo (first month free) and adds more than 20 enrolled families and up to 5 locations, among other things.
How do I switch from a paper sign-in sheet?
Plan for one overlap week:
- Add your rooms and staff accounts.
- Invite your current families, and confirm each child's authorized pickups and not-authorized list before the first day.
- Run digital check-in and check-out alongside the paper sheet for one week.
- Compare the two at the end of each day.
- Retire the paper sheet, and keep the old sheets for as long as your rules require.
