Free Daycare Management Software: What You Get and What It Costs

ByZukeepr TeamOctober 30, 2026

"Free" is the most overused word in childcare software. Sometimes it means a 14-day trial, sometimes a stripped-down app that hides billing behind an upgrade, and sometimes the vendor takes a cut of your tuition instead of a subscription. This guide explains what to check before you trust a free plan, and then sets out exactly what Zukeepr's free plan includes, where its limit is, and who pays which fee.

Is there free daycare management software?

Yes. Some daycare management software has a free plan you can run your center on indefinitely, not just a trial. Zukeepr is one: its daycare plan is free for up to 20 enrolled families, with attendance, daily logs and tuition invoicing included.

The useful question is not whether a plan is free but what it leaves out, and how the company makes its money instead. Every free plan is paid for somehow.

What should a free daycare management plan include?

At minimum, the jobs you do every day. If a free plan does not cover these, it is a demo rather than a plan:

  • Check-in and check-out, with a record of who brought and collected each child.
  • Daily logs that parents can see: meals, naps, notes.
  • Tuition billing that sends invoices and collects payment, not just a balance you track by hand.
  • Family messaging that keeps conversations off your personal phone.
  • Records you can produce: attendance history, incident reports, emergency contacts.

Be wary of a free plan where billing is the paid add-on. Billing is where most of a director's admin time goes, and it is the feature most worth having.

How do free daycare apps make money?

Usually in one of three ways, and it is worth knowing which before you sign up:

  1. A paid upgrade. The free plan is real but capped, by children, families, locations or features. You pay when you outgrow it.
  2. Payment fees. The company earns on payments that pass through it. Ask whether that fee comes out of your tuition or is paid by the family.
  3. A short trial. "Free" ends after a set number of days, and your data stays behind the paywall.

None of these is wrong. The problem is not knowing which one you signed up for.

What does Zukeepr's free plan include?

Zukeepr's free daycare plan covers the day, the team and the billing, for up to 20 enrolled families. Specifically:

Run the day

  • Check-in and check-out, with who dropped off and who picked up each child
  • Daily logs and report cards
  • Incident reports with PDF export
  • An events calendar
  • Printable emergency and pickup sheets

Run the team

  • A staff list and rooms
  • Staff time off and certification expiry reminders
  • Staff accounts, so your team can check children in and out, write daily reports and message parents

Get paid

  • Tuition invoices and receipts at the rates you set, with tuition charged automatically each month from the family's saved card, or US bank account where available
  • Part-time rates
  • An accounting view of who has paid and what is still owed
  • Receipts in your legal business name, and tax receipts for families

Talk to families

  • In-app messaging
  • Replies to reviews

Grow, when you have room

  • A verified listing you can pause and resume, with applications from local families when you have space

The free plan covers one location.

What is the limit on Zukeepr's free plan?

The limit is 20 enrolled families. It counts families, not children, so two siblings at your daycare use one place, and a family whose enrollment has ended no longer counts. When you want to enroll more than 20 families, you move to Daycare Premium.

What does Daycare Premium add, and what does it cost?

Daycare Premium is $11.99/mo (first month free). It adds what the free plan does not include:

  • More than 20 enrolled families
  • Up to 5 locations
  • Staff coverage planning by room
  • Invoice history
  • Accounting CSV export
  • Photos in messages
  • Per-family year-to-date revenue

Everything in the free plan stays the same on Premium. If none of those lines matters to you, the free plan is not a teaser; it is the plan.

Are there hidden fees on a free daycare plan?

There should not be, and the fees should be ones you can read before you start. Here is every fee involved when families pay through Zukeepr:

  • $10 admin fee: one-time, per child per daycare, charged to the parent at acceptance.
  • $3 per-invoice platform fee: post-enrollment invoices only, never on the acceptance transaction, and once per invoice regardless of line items.
  • Processing: whoever pays a charge bears the Stripe processing fee (card 2.9% + $0.30; for US families paying by bank debit (ACH), 0.8%, capped at $5).

Daycares receive their full set amount. Tuition and registration fees flow to the daycare through Stripe Connect, and Zukeepr never holds them. In other words, the free plan is funded by the upgrade and by small fees the family pays, not by a percentage of your tuition.

That still costs your families something, so tell them upfront. In the US, where bank debit is available, it keeps the processing fee lowest on tuition.

Free daycare software vs paid software: what is the real difference?

Mostly scale. Paid plans on most platforms add things that start to matter at larger centers: multiple locations, deeper reporting, staffing tools and exports for an accountant. A small center or home daycare often needs none of those on day one.

For a side-by-side of what the main platforms say they offer, see our guide to the best daycare management software. When you compare, read the lowest plan's own feature list on each vendor's site, and check current prices there rather than in a review article.

How do I know if a free plan is enough for my daycare?

Run one real week on it. A practical test:

  1. Add your rooms, staff and rates.
  2. Invite your current families, one at a time or from a CSV roster.
  3. Check children in and out every day for a week, and fill in the daily log.
  4. Look at what a parent sees.
  5. Check that each family's tuition rate is right, including part-time children, before the first invoices go out.

If that week works, the free plan is enough. If you hit a wall, note which line it is. On Zukeepr, the only things held back are the seven Premium lines above.

Can I switch from the free plan to Premium later?

Yes. You can start free and upgrade when you need one of the Premium lines; your roster, attendance and billing stay where they are, and Premium adds to them. Daycare Premium is billed monthly, and the first month is free.

Start on Zukeepr's free plan

Zukeepr's free plan runs the operational core of your daycare at no cost: your roster of enrolled children, check-in and check-out with who picked up, daily logs and report cards, staff accounts, and tuition charged automatically each month from the family's saved card, or US bank account where available, paid out to the daycare, for up to 20 enrolled families. If you are in McKinney, Prosper or Celina and have open spots, your verified listing is there too, and you can pause it when you are full.
